JOB DUTIES and RESPONSIBILITIES:
• Educational & Developmental Intervention Services (EDIS) Office Assistant Contractor performs as an Office Assistant in connection with the Educational & Developmental Intervention Services (EDIS), USNH Yokosuka.
• Contractor is responsible for planning, directing, and performing administrative services functions in support of the EDIS Yokosuka program. Due to the nature of the EDIS program, the incumbent must be able to function independently and seek direction via phone or through email contact with the Division Head, Regional Administrative Support Assistant, or Department Head. The incumbent must hold a valid driver’s license and be able to travel within the Kanto Plain to assist the EDIS program as directed. Contractor coordinates various meetings with the Department of Defense Dependants Schools (DoDDS), Child Development Centers (CDC), Family Services Centers.
• Contractor receives EDIS referrals for the Early Intervention Services (EIS) birth to 36 months and the Related Services (RS) 3 to 21 years of age. This requires being knowledgeable of the EDIS processes and having the ability to learn how to input data and extract reports from the Special Needs Program Management Information System (SNPMIS) and CHCS/AHLTHA database. Creates accounts in SNPMIS and Secondary Educational Charts for incoming referrals/IEPs.
• Contractor maintains an internal tracking system for all incoming EIS and RS referrals. Provide updates for the Regional Referral Tracking Program Manager. Complete initial service coordination: Provides coordination for all incoming referrals before forwarding to the Division Officer who will then assign the case to the appropriate provider.
• Contractor coordinates and routes all requests for TAD and other requirements for the Division before they are routed to the Regional Administrative Support Assistant.
• Contractor supports incoming itinerant providers traveling to provide services for EDIS Yokosuka. Ensure that the itinerant provider is oriented to the EDIS Yokosuka, assigned a room and computer, given access to the facility, and caseload requirements are provided to the itinerant provider upon their arrival.
• Contractor maintains timekeeping by provide a daily muster to the Regional Administrative Support Assistant. Trains incoming civilian staff to complete their time and attendance through SLCADA and DMHRSi. Assists civilians on how to prepare all payroll documents required such as compensatory time and leave requests. Maintains record of all contract staff timekeeping records.
• Contractor coordinates incoming/outgoing mail, coordinates with DODDS property management for repairs and upkeep, coordinate copy machine repairs and upkeep, coordinate all resources and complete necessary forms for all resources that require such processing.
• Contractor utilizes DMLSS (Defense Medical Logistic Standard Support) system in ordering supplies. Requests printing and reproduction services.
• Contractor manages records to ensure that all secondary charts are maintained and disposed of per instruction. Ensure that reports are provided to and records documented that reports have been received by DODDS and the medical records section in a timely manner.
• Contractor manages all forms and testing materials used in division. Maintains for easy access to providers and responsible for keeping inventory.
JOB REQUIREMENTS:
Contractor personnel shall possess the necessary clerical knowledge and skills necessary to carry out all assigned clerical duties.
Personnel shall have a working knowledge of the Microsoft Office Software suite.
Must be able to type 40 words per minute possess excellent customer service skills.
Must be a U.S. citizen.
Must have secret clearance.
Must have a valid driver''s license.
