Administrative Assistant for Inward Investment activity in Japan and the UK
The successful applicant will join our professional and high-performing Investment Team, encouraging Japanese companies to invest into the UK and maintaining relationships with Japanese investors in the UK.
The position is for one year in the first instance.
Main Duties
• Under the direction of the Head of Investment, support the management of the investment team including by arranging meetings, monitoring budgets, booking resources, and organising team information, including that held electronically.
• Providing administrative support when senior UKTI colleagues visit Japan, including booking travel and accommodation.
• Provide administrative support to three remote-working sector specialists (on ICT, Regenerative Medicine, and Smart Cities).
• Ensuring the specialists' activity is recorded correctly in our customer management system.
• Provide occasional administrative support to the sector teams based in Tokyo and Osaka.
• Contribute to the Japan Network’s crisis readiness and to the wider running of the network.
Requirements
The successful candidate should be able to demonstrate the following key skills and attributes.
Essential:
• Experience providing administrative support to individuals and teams
• Good IT skills, particularly Microsoft Office (Outlook, Word, Excel, PowerPoint)
• Business communication skills in English (orally and in writing) and experience using them in the workplace
Desirable:
• Experience using customer management systems
• Experience supporting teams in multiple locations and remote workers
• Experience of budget management
• Understanding of business culture in Japan and the UK
• Business communication skills in Japanese and experience using them in the workplace
The successful candidate must also be able to demonstrate that they meet the following competences. They will be expected to provide evidence at interview of previous performance against these competences.

Benefit package includes:
• Working hours: This is a part time position working three days per week. Working hours in the embassy are Monday to Friday, generally 0900-1730 with flexible working opportunities and occasional out of hours working required

PRINCIPAL RESPONSIBILITIES
Supervise the pre-commissioning and commissioning effort to timely completion within approved budget while achieving the required quality, HSES and environment standards.
Provide commissioning oversight for all work for the project CCPP, through the Commissioning Engineering and onshore construction phase.
Provide Contractor oversight and guidance during the development of the CCPP commissioning scope, including check sheet, test procedure and schedule development.
Provide contractor oversight and ensure project execution to HSSE standards and within quality, schedule and cost objectives
To assist in the oversight of the EPC Contractor during fabrication, testing and delivery of the CCPP
To monitor all Pre-commissioning and commissioning work, ensuring that it is carried out in accordance with the relevant Company and Statutory requirements.
To lead the Right First Time initiative for the CCPP and proactively ensure that Right First Time is implemented across all aspects of the CCPP scope.
Confirm that the CCPP Subcontractor has a robust execution plan for CCPP pre-commissioning, commissioning and hand-over.
Work with engineering and fabrication teams for the review and approval of all Contractor deliverables, particularly for pre-commissioning and commissioning.
Identify and highlight any risks, opportunities or threats that may have a favourable or adverse impact on CCPP pre-commissioning and commissioning within project cost, quality or schedule objectives. Assist in the development and implementation of contingency plans as appropriate to maintain performance objectives.
Develop and update weekly/monthly performance management reporting to monitor progress on key performance indicators (KPI'S) & critically analyze data.
Support the review and swift resolution of Site Queries and Technical deviation requests.
Monitor and report on the CCPP Pre-commissioning and commissioning progress
To ensure that all Pre-commissioning and commissioning aspects of the project on site are supervised in a safe and efficient manner.
To provide input for lessons learned
Able to promote strong working relationships, within the onshore team to present a cohesive interface with other key aspects of the project.
Able to promote effective team working, a performance bias, make wise decisions, innovate to find solutions.
